Pre-Departure Requirements - January Term

Below, there are links to several important documents which need to be submitted electronically or downloaded, printed, completed, and returned to IAU's U.S. Office via fax, e-mail, or snail mail using the contact information on the form.

Due by October 1st

  • First Program Deposit - For students invoiced by IAU directly for the program deposit, your nonrefundable deposit of $750 is due at the time that you submit your initial application (on or before October 1st). Applications will not be considered complete or submitted for review until the deposit has been received.  

  • Copy of Passport - Please complete the passport form and submit a scan or photo of your passport through your MyIAU portal. Please note that for all IAU programs your passport must adhere to the following guidelines: it must be in good condition, with a date of expiration at least 6 months after the end of your stay in the Schengen area (Europe), and issued within the past 10 years and containing at least 2 blank pages. 

Due by October 15th 

  • Second Program Deposit - For students invoiced by IAU directly for the program deposit, your second $750 deposit is due within two weeks of acceptance or by October 15th (whichever comes first). This confirms your course registration, housing, and international travel arrangements. These arrangements will not be secure until this payment is made. The remainder of the program fee is due two weeks prior to the start of the program. You can pay your deposit by check or credit card. Additional details can be found on the IAU Payment Page

Due by November 1st

  • Physician Statement - IAU needs confirmation that you’re prepared for a semester abroad. This form requires a doctor’s visit. Please upload this form to your MyIAU portal.

  • Financial Assistance Form - If you are paying IAU directly and relying on financial assistance to cover all or a portion of your IAU tuition and fees, please download the Financial Assistance Form, complete your portion, and then have a financial aid advisor from your home instruction complete their section and return to IAU. Please upload the signed form to your MyIAU portal.

  • Travel Itinerary - Please submit your travel itinerary on your MyIAU portal.

  • IAU Post Acceptance Waivers - Complete and submit on your MyIAU portal.

    Smart Traveler Enrollment Program - IAU recommends that all students register with the U.S. State Department's Smart Traveler Enrollment Program (STEP).  By enrolling in this system, the U.S. Embassy can keep students updated with important safety and security announcements.  It will also help family and friends get in touch during an emergency.  For more information and to register, please visit the STEP website.


    Packing suggestions with details regarding packing, laundry, Ryan Air baggage allowances, finances, Wi-Fi, and phones. It is very important you read over the Ryan Air baggage allowances section, as any overweight baggage will result in additional fees.


    U.S. citizens do not currently require visas for any of the countries included in the traveling seminars. All passports need to be valid for at least six months after the date of departure. 

    Cancellation Policy

    All students are held to IAU's Financial Policies when canceling enrollment in an IAU program. Official cancellation of enrollment will be complete when the J-term Cancellation Form is received by IAU and confirmation of receipt is sent to the student via email from IAU.
