Pre-Departure Requirements - January Term

Below, there are links to several important documents that need to be submitted electronically or downloaded, printed, completed, and returned to IAU's U.S. Office via fax, e-mail, or snail mail using the contact information on the form.

Due by October 1st

  • First Program Deposit - For students invoiced by IAU directly for the program deposit, your deposit of $750 is due at the time that you submit your initial application (on or before October 1st). Please see our financial policies for details on refunds. Applications will not be considered complete or submitted for review until the deposit has been received.  

  • Copy of Passport - Please complete the passport form and submit a scan or photo of your passport through your MyIAU portal. Please note that for all IAU programs your passport must adhere to the following guidelines: it must be in good condition, with a date of expiration at least 6 months after the end of your stay in the Schengen area (Europe), and issued within the past 10 years and containing at least 2 blank pages.

  • J-Term 2022: For the safety and well-being of all program participants, IAU-ACM is requiring all students, staff and faculty to be fully vaccinated against COVID-19 in order to participate in all IAU-ACM J-Term programs. Students will be required to submit proof of vaccination to IAU-ACM's U.S. Office of Admissions by October 1, 2021. An extension of this deadline can be provided to any student who is in the process of becoming fully vaccinated, but all students must be in compliance by no later than November 15, 2021. Due by October 15th

  • Second Program Deposit - For students invoiced by IAU directly for the program deposit, your second $750 deposit is due within two weeks of acceptance or by October 15th (whichever comes first). This confirms your course registration, housing, and international travel arrangements. These arrangements will not be secure until this payment is made. Details on refunds can be found on the Financial Policies page. You can pay your deposit by check or credit card. Additional details can be found on the Payment Options page.

Due by November 1st

  • Physician Statement and Wellness and Accommodations Questionnaire - In order to better assist students while abroad, we request that students complete the Physician Statement and Health Questionnaire. This information will allow IAU to provide support should health/mental health concerns arise during the study abroad experience, and particularly in the event of a health emergency. IAU may request additional documentation from students’ health care provider as part of their application. This documentation will provide guidance to IAU on how to best support students during their participation in the program.

  • Financial Assistance Form - If you are paying IAU directly and relying on financial assistance to cover all or a portion of your IAU tuition and fees, please download the Financial Assistance Form, complete your portion, and then have a financial aid advisor from your home institution complete their section and return it to IAU. Please upload your complete form through your student portal.

  • Travel Itinerary - Please submit your travel itinerary on your MyIAU portalPlease do not purchase your airfare until you receive notification from IAU. IAU will contact all accepted students at the end of October after the application deadline. Upon receipt of this email, you can purchase your airfare. IAU is not responsible for refunds or compensation for airfare purchased prior to this date should the program be cancelled or the itinerary altered for any reason.

  • IAU Post Acceptance Waivers - Complete and submit on your MyIAU portal.


Smart Traveler Enrollment Program - IAU recommends that all students register with the U.S. State Department's Smart Traveler Enrollment Program (STEP).  By enrolling in this system, the U.S. Embassy can keep students updated with important safety and security announcements.  It will also help family and friends get in touch during an emergency.  For more information and to register, please visit the STEP website.


Visas - For programs that are less than 90 days, students who hold a U.S. passport do not currently need a visa to visit any of the countries in the traveling seminars. Students who hold a passport from other countries, please reference our visa resources page for additional information and instructions. 

Cancellation Policy - All students are held to IAU's Financial Policies when cancelling enrollment in an IAU program.
